Event Planning and Logistics Assistant

Santa Paws is seeking dedicated volunteers to assist with the planning and logistics of our annual Santa Paws event which raises funds for our dog rescue efforts. The Event Planning and Logistics Assistant will work closely with the Events Coordinator and other team members to ensure the smooth and successful execution of the event.

Key Responsibilities:

  • Assist in the overall planning and coordination of the Santa Paws event, including but not limited to vendor management and scheduling.
  • Coordinate event logistics, such as transportation, equipment rentals, and setup and teardown of event spaces.
  • Assist in managing event budgets, tracking expenses, and providing regular updates to the Events Coordinator to ensure financial goals are met.
  • Collaborate with the Events Coordinator to develop and implement contingency plans for unforeseen circumstances that may arise during the event.
  • Provide on-site support during the event, including managing registration, directing vendors and attendees, and addressing any issues that may arise.
  • Assist in post-event evaluations and reports to assess the success of the event and identify areas for improvement.

Qualifications:

  • Strong organisational and time management skills.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with the ability to multitask and prioritise tasks effectively.
  • Previous experience in event planning or logistics is a plus but not required.
  • Passion for animal welfare and the mission of Santa Paws.
